Importing/Exporting Email

Below are instructions for importing and exporting your emails from one mailbox to another. The instructions are for Outlook 2013, but in other versions the operations are done in a similar manner.

Export Email

  1. Click File, then Open & Export, then Import/Export.
  2. Click Export to a file, then Next.
  3. Click Outlook Data File (.pst), then Next.
  4. Click on mailbox whose data you want to export. Ensure that the "Include subfolders" box is checked. This allows all emails and contacts to be transferred.
  5. Enter the desired location and name for the data file. Don't forget it! Click Next.
  6. Click Finish.
  7. The data will then be exported to the given file, at the given location.

Import Email

  1. Click File, then Open & Export, then Import/Export.
  2. Click Import from another program or file, then Next.
  3. Click Outlook Data File (.pst), then Next.
  4. Enter the location and name of the data file, then click Next.
  5. Ensure the enter "Outlook Data File" is selected, and that the "Include subfolders" box is checked.
  6. Click "Import items into the same folder in:", and select the mailbox you desire to import the information to.
  7. Click Finish.
  8. The data will then be imported to the given mailbox.
